Student Employment

Effective March 1, 2022: On-Campus Student Employment has moved from the Career Center. If you are an on-campus employer that needs to hire student assistants, you can continue utilizing the hire forms on this webpage until a new website location is identified.

If you have any questions please email Thelma Fuentes, On-Campus Student Employment Program Specialist or Human Resources Services Customer Service Center .

All student  employees must go through the hiring process for academic year and summer, regardless if they are a new hire or a re-hire.

New hire: A student that has never worked for your department.

Re-hire: A student that has worked for your department within the last 12 months.


Hiring Process

Follow the steps below to complete the hiring process for new hires and re-hires. You may also download the hiring process checklists for your convenience.

Handshake Posting

New hires start here

  • Develop a detailed job description for your student employment position.
  • Post the job on Handshake on your department’s company page.
  • The job must be posted for a minimum of 3 business days.
  • Contact Thelma Fuentes at if you have trouble accessing your employer Handshake account.

Tableau Eligibility

  • Before inviting students for an interview, verify their work eligibility on Tableau.
  • Check the “Student Employment Eligibility” report and search for your students using their Bronco ID Number (BID).
  • Green check marks indicate the student meets the eligibility criteria.
  • Any questions about eligibility should be sent to Susana Gonzalez, in Payroll Services

Interview & Selection

  • Highly recommended: Interview three candidates for every job opening.
  • Select student(s) for hire.
  • Highly recommended to send your student an offer email. Email template coming soon!

Hire Forms

Re-hires start here

  • Complete one hire form per student (if your student is a re-hire, make sure to check their Tableau Eligibility).
  • Send hire form for signatures via Adobe Sign (preferred method- view checklist for routing order) or gather electronic signatures and email completed form to 
  • We screen for the following information:
      - Verify the student applied to the Handshake position
      - Verify the Handshake # matches the job posting
  • If your student employee requires a background check, it is initiated at this step.

HR/I-9 Appointment

  • Human Resources Customer Service Center will contact new hires to schedule an I-9 appointment.
  • The I-9 appointment will take place in-person (location to be confirmed in email).
  • The I-9 requires students to provide identification and social security card.
  • After I-9 appointment is completed, hire forms will be forwarded to Payroll Services.
  • Contact with any questions about this step.

Payroll Services

  • Payroll Services verifies the accuracy of the position # and enters hire form information into payroll database.
  • Payroll Services will activate student timesheet on PeopleSoft.
  • Contact Susana Gonzalez with any questions about this step
