Information for Managers

With COVID-19 cases on the decline and the number of those vaccinated on the rise, Cal Poly Pomona is planning a safe and gradual return to in-person work.

Cal Poly Pomona’s Employee Repopulation Plan will involve a prioritized, staged approach for individual units and divisions based on the operational and functional needs of the university. Summer 2021 and fall 2021 are transitional times, as many employees may have extenuating circumstances related to health, family needs and childcare, as K-12 school schedules have not yet returned to normal.

Before coming to campus, employees should visit the Checklist before coming to campus, complete the training and daily Health Screener outlined in the checklist.

When on campus, individuals should observe the following safety measures: Wear a face covering at all time, practice physical distancing and maintain personal hygiene.

FAQs for Managers

Should managers come to campus for work?

Employees who are able to continue to work remotely, will be encouraged to do so. Employees will work remotely from home unless they are designated by their HEERA manager (upon consultation with the appropriate AVP/Dean and Vice President) as critical to maintain certain on-campus services, and public safety personnel are to report as directed. Academic Exception requests will continue to be facilitated by the Provost’s Office.

What is OnSite Work Schedule Notification?

In an effort to provide HEERA Managers with the ability to verify approved employee on campus activities and completion of the Employee Health Screener, EODA and IT have partnered to provide a daily report emailed from onsiteschedule@cpp.edu. An email will be sent once per day and will indicate all employees that have been approved to go to campus based upon entry in the PeopleSoft Work Scheduler, and will indicate if the Employee Health Screener was completed by those employees.  The report will also indicate any employees that have completed the Employee Health Screener, but are not scheduled for a campus visit in the PeopleSoft Work Scheduler.  Vice-President's will also receive this report for all employees scheduled to report to campus in their division. 

 

What if I cannot come to campus for their approved work-related activities?

For staff who cannot be on campus due to medical conditions that make them more vulnerable to COVID-19, Cal Poly Pomona will provide reasonable accommodations in the form of remote work assignments.

There are various options that need to be assessed on a case-by-case basis. Contact Employee Labor Relations to discuss specific cases and options.

Are on campus meetings or events allowed?

No public gatherings of any size affiliated with the university are permitted either on or off campus. This includes all meetings, conferences, workshops, committee meetings, luncheons, performances, campus tours, etc.

What is the process for employees to report a confirmed positive test for COVID-19, symptoms and/or close contact exposure to a positive case? Are protocols different for those who work on campus vs. those who work remotely?

Faculty and staff employees who are scheduled for approved in-person and/or on-campus work or activities should complete the online Employee Health Screener prior to visiting campus. A confirmed positive test, symptoms or close contact exposure to a confirmed positive case should be reported through the online Employee Health Screener. The Employee Health Screener will then provide the employee’s next steps, one of which is alerting the employee’s manager of the employee’s illness related absence. Employees who are scheduled to work on campus should NOT go to campus.

Employees only working remotely and with no in-person and on-campus activities are not required to complete the Employee Health Screener. If needed, the employee can use the appropriate leave credits following the department’s normal attendance reporting procedure. What should I do if I learn that one of my employees has tested positive for COVID-19, has symptoms and/or has exposure to a positive case?

For staff employees, the HEERA Manager is to immediately notify the Safer Return Incident Investigation Team (healthscreener@cpp.edu) and Employee/Labor Relations (elr@cpp.edu), providing the employee name and contact information.

When can an employee return to in-person work if they were required to isolate?

If an employee was directed to isolate, they need to provide Employee/Labor Relations (elr@cpp.edu) with a medical release prior to returning to work. Then, Employee/Labor Relations will inform the HEERA Manager of the employee’s release to return to work. Managers should not conduct an incident investigation and should not request a diagnosis from the employee.

What should I do if I learn that one of my students has a confirmed positive test for COVID-19, has symptoms and/or has exposure to a confirmed positive case?

Faculty should immediately notify the department chair or college dean. Staff should inform their HEERA manager. The chair, dean or HEERA manager will immediately notify the Safer Return Incident Investigation Team (healthscreener@cpp.edu) providing the student name and contact information. Faculty and staff should not conduct an incident investigation and should not request a diagnosis from the student.

Are students required to inform the university if they have a confirmed positive test for COVID-19, have symptoms and/or had a close contact exposure to a confirmed positive case?

Students who have in-person activities are required to report this through the online Health Screener and inform their faculty member or staff supervisor. They should NOT attend the in-person activities.

Students who are studying and working remotely are not required to share this information. If they choose to, they can report this to their faculty member or through the online Health Screener.

If students were directed to isolate or quarantine, when can they resume in-person activities?

If applicable and upon completion of the isolation period, the student is to provide the Incident Investigator and/or the Student Health Center with a medical release prior to returning to in-person activities. The Safer Return Incident Investigation Team will inform the department, chair or HEERA manager of the release to return to in-person activities.
