Application Procedure and Timeline

Prospective residents are encouraged to submit their Student Housing License Agreement (contract), as soon as it becomes available online. All contract submissions are date and time stamped. Submission of an application does not guarantee a student a Housing assignment. Assignments for housing will be given with priority to those that apply early.

The demand for housing has been increasing and there is a possibility that demand will exceed spaces available. It is recommended that students submit contracts even if they are unsure of their attendance or intended residency. Cancellations are accepted up to thirty days prior to the beginning of the quarter in which they are contracted. A waiting list will be maintained throughout the year. Timeline

January

  • Newly admitted undergraduate students to Cal Poly Pomona (Freshmen and transfer) will be notified of the upcoming housing application period for the next academic year.

February

  • Continuing CPP students who applied early enough will be notified of Room Selection timeslot.

March

  • None

April

  • The first day for applications for the summer semester and next academic year begins in early to mid April. Check the UHS website and for e-mail updates if you previously requested updates. All submitted License Agreements (applications) are reviewed for completion and for space availability on a first-come, first-served basis.

May

  • None

June to early August

  • Incoming students that have been offered a space will receive their room assignments notification via email in July.
  • Students will be notified by e-mail if UHS is unable to offer a room assignment. Those who do not get a space will be added to the waitlist in the order the completed application was received.
  • First time freshmen and transfer students who received a space have the opportunity to sign up for Welcome Week.
  • Students may request to cancel their License Agreement by providing written notification at least forty-five days in advance from of their move in date.

Late August

  • Fall Move-in is the day before Fall classes begin for upperclass residents and freshmen who chose not to participate in Welcome Week.
  • Welcome Week for freshmen (optional) begins the Sunday before the first day of classes.
