Selection Process

All members of the IT division meet these Key Aspects of IT Success in different ways depending on their roles within the division. Winners may represent the key aspects of IT success in differing emphasis, e.g. one winner may excel in customer/client support while another winner may excel in innovation.
IT Staff of the Year
Nomination
- Individuals can either be self-nominated or nominated by a colleague or manager.
- Nominations should explicitly explain how the nominated individual meets the Key Aspects of IT Success.
- Include specific examples of actions the nominee has made that qualify them for the award. These examples can be special projects, day-to-day activities, or combined.
Selection
- The selection committee reviews all nominations and scores on a rubric based on the Key Aspects of IT Success. The individual committee members will provide a score from 1-10 for each of the three Key Aspects of IT Success for 30 points.
- The top ten individual candidate scores will be considered for the IT Staff of the Year award. These candidates will be discussed by the selection committee, which will decide on the most deserving recipient of recognition as IT Staff of the Ye
- All members of the committee have an equal vote.
Award
- The IT Staff of the Year winner will receive an award that can be displayed prominently to showcase their achievement, along with $50 in Bronco Bucks.
- The winner will also be asked, on a voluntary basis, to join the IT Staff Awards Committee to decide following year’s award winners.
- A plaque in the CIO's office is engraved with each year's IT Staff of the Year recipient.
IT Project Team of the Year Nomination
Selection Process
- Groups can be self-nominated by a team member or nominated by a colleague or manager.
- Nominations should explicitly explain how the team meets the Key Aspects of IT Success.
- Include specific examples of actions taken and accomplishments achieved by the team. These examples can be special projects, day-to-day activities, or a combination.
- The project team will be responsible for self-identifying all project team members.
- We recommend that the team confer before submission to ensure they include all team members and their perspectives on the project.
Selection
- The selection committee reviews all nominations and scores on a rubric based on the Key Aspects of IT Success. The individual committee members will provide a score from one to ten for each of the three Key Aspects of IT Success and one to five for each of the three additional factors for project teams for a total of 45 points.
- The nomination committee considers the top five project team candidate scores for IT Project Team of the Year. The selection committee will discuss these five project teams in a group setting to decide on the one project team most deserving of the recognition.
- All members of the committee have an equal vote.
Award
- The winning IT Project Team of the Year receives a celebratory group lunch.
- The winning IT Project Team of the Year members each receive a certificate commemorating their involvement.
- A standing plaque that will remain in the CIO's office will have each year's IT Project Team of the Year engraved on it.
- A plaque in the CIO's office is engraved with each year's IT Project Team of the Year.
Rules for Both Awards
- HERRA Managers are not eligible for IT Staff of the Year. However, they are eligible to be part of the IT Project Team of the Year.
- If you are an IT Staff of the Year award recipient, you cannot win the award again within five years.
- Project team winners for reoccurring projects can only win the award after five years.
- Cal Poly Pomona must employ IT Staff of the Year candidates for at least one year (date based on application deadline).
- There will be at most one individual awardee per department per year.
- For project teams, 75% of the team must be IT employees.
- There must be a minimum of three individuals on the team for project teams.
- The project was completed within the time frame from July 1, 2024, to June 30, 2025.
- If a committee member self-nominates or is nominated for the IT Staff of the Year, they abstain from rating their application. Their application will be an average score of the remaining committee members.
- If a committee member is fortunate enough to reach the committee deliberation phase (final five) for the IT Staff of the Year, they will step down from the committee and be replaced.
- If a committee member is a part of the project team of the year submission, they will abstain from rating their application. The project team application will be an average score of the remaining committee members.
- The final five of the team project will be weighed in on by all committee members regardless of their respective involvement with a nominated team.
- Project submissions must have been completed in the past year, or a defined significant project milestone was completed within the last year.
- Projects may span multiple academic years, but must have been completed between July 1, 2024, to June 30, 2025.
