Canvas Outage Contingency Resources
The following guidance contains recommended steps faculty should take to be prepared for a Canvas outage. The CAFE team will continue to update and refine this resource page. Please check back for updates.
Access to Canvas has been restored for CPP users as of approximately 1:45 PM on Friday, May 8th. If you are still seeing a message that Canvas is experiencing an outage when you try to log in:
- Try logging in from a Private (Safari, Firefox, Edge) or Incognito (Chrome) window; and/or
- Clear your browser cache completely, exit your browser, and then re-open your browser and log in again.
General Guidance
- Faculty can message their class rosters via BroncoDirect.
- To share files with students, faculty can send OneDrive links.
- Faculty could enable their course Teams to communicate and share materials with their students. See Teams for Education (add link to anchor, if possible) for more information.
- When Canvas is available, instructors may download the Class Roster report to obtain a list of student email addresses.
If Canvas is not available:
- Students can email work to instructor (up to 10 MB )
- Student should be instructed to include the course and section number when emailing faculty and send a copy to themselves
- Students can send a link to the assignment from the student’s OneDrive (for files larger than 10 MB)
- Faculty can create assignments in Teams
- Faculty can create quizzes and exams using Microsoft Forms
- Students should be able to access most of their digital textbooks by logging in to VitalSource using their CPP credentials.
- Let your students know they may need to change the term from Summer to Spring once they are logged in to VitalSource.
- Faculty and students may be able to log in to publisher courseware sites directly, instead of via Canvas.
When Canvas is available:
- Periodically export your Gradebook as a backup.
- Save copies of ungraded student submissions to grade offline, if necessary. Instructors have the option of downloading assignments via SpeedGrader or via the Gradebook.
Faculty Resources
Gradescope is a tool faculty can use to distribute, collect, and grade student assignments. Faculty can use Gradebook as a Canvas integration and as a standalone tool.
Configuration
- Teams sites are automatically configured for every CPP course. If faculty open Teams, they should see the option to enable their Teams site(s).
- Please note that it is not possible to combine multiple sections into one Teams site.
- If you have multiple sections combined in your Canvas site, they will not be combined in Teams.
Exception: If you have one or more students enrolled via Open University, those students will be included in the Teams site for the corresponding regular session section course. - Make sure to enable the Teams site for all your sections. You may need to post the same information in multiple Teams sites if you have multiple sections.
- If faculty have deleted their Teams for the current term, there is no way to reactivate them
Communication
- Once faculty enable Teams, they should notify Students via BroncoDirect and send students instructions for accessing the Teams site.
- Faculty can use Teams Channels to communicate with students
- Faculty can also use Teams Channels to facilitate communication between students, such as for groups projects or in lieu of a Canvas Discussion assignment
Sharing Materials
- Faculty can upload class materials to distribute to students.
- If faculty use the Class Materials folder to store and share documents, students will not be able to edit those documents.
- Documents shared via a Channel or Chat will be editable by everyone with access to the Channel or Chat.
Assignment and Other Assessments
- Teams for Education includes an Assignment feature
- Watch a 2-minute video covering the basics of how to create and review Assignments
- Instructors can also create quizzes using Microsoft Forms with assistance from Copilot.
When downloading student information, including emails, grades, and assignments, please follow FERPA guidelines, ensure that files are stored securely and avoid using personal or non-secure platforms. FERPA and other sensitive information should be stored on campus-managed computers or services (e.g., OneDrive).
