Senior Project Archive Protocol

Recital/project committee chairs will be the collectors and depositors of all supporting materials for a student’s capstone project. Under the guidance of the project chair, the student will record and save documents and submit them to the chair.

OneDrive is the recommended method of transferring files between students and committee chairs. The chair will confirm document content, format and naming, and upload the files to the Department SharePoint. Only full-time faculty and staff will have access to the department SharePoint. The default permissions are set to open access to all, however only the assigned committee chair should make changes to the folder.

At least two concurrent synchronized copies will be maintained, one on the Department SharePoint and the other on a campus computer that currently maintains a synced version of the department SharePoint. Any changes to the SharePoint will be reflected at both off-site locations, including any files that are deleted. Periodically the on-campus computer will have its contents transferred by the Technician to an external hard drive.

<Last Name>, <First Name> - <Year-Month-Day> - <Supporting Document Type> - <Piece or Song Name> - <Composer last name, arr Arranger last name>.<file extension>

Jane Doe is submitting her video and program notes for the senior recital that was recorded (not necessarily submitted) on October 19, 2020.

She submitted a PDF document of the program notes.

She also completed an arrangement of Minuano by Pat Metheny both in PDF and a Sibelius session file that is being sent alongside her performance.

FILE FORMATS

  • Senior recital video OR senior project presentation (.mov or .mp4 video file only)
  • Senior recital audio (.mp3 or .wav 44.1 KHz/16-bit only)
  • Recording senior project final bounces/renders (.mp3 or .wav 44.1 KHz/16-bit only)
  • Composition scores (.pdf or .sib)
  • Program (.docx, .pdf or .indd files only)
  • Program notes (.docx or .pdf files only)
  • Lyric translations (.docx or .pdf files only)
  • PowerPoint presentation (.pptx only)
  • Publicity poster (.pdf .docx, .psd or .indd files
  • Any other files types not listed here should be saved in industry standard file formats. Inquire with your committee chair on acceptable file formats.

Microsoft Office suite is available to all campus members, Adobe Creative Cloud is free for students to access through August 2021, the music department has paid for student access Pro Tools and Sibelius through August 2021.

Supporting documents made outside of the sanctioned file formats will not be accepted. Students should not need to seek any alternative software platforms (Google Docs, Open Office, or any other freeware software)
