Dear Broncos,

Beginning July 1, 2026, the Bronco Student Center (BSC) will implement new room rental pricing. While this new structure will apply to all Cal Poly Pomona departments and programs that use BSC spaces and services, registered student clubs and organizations will still be able to reserve BSC spaces at no cost during standard operating hours. The charges will only apply when requests are made outside of those hours or involve certain types of partnerships.

Since the BSC’s expansion in 2004, room rental rates have not been adjusted to reflect the significant increase in operational costs over the past two decades. To ensure ASI’s long-term financial sustainability and to continue delivering high-quality event services at the BSC, we must adjust our pricing to better recover ASI’s direct and indirect costs of facilitating events.

A detailed breakdown of the new rates, including a three-year pricing forecast, is available at https://asi.cpp.edu/facilities/pricingupdates/.

These updated rates include audiovisual (A/V) equipment and support from ASI staff. Additional fees may apply to any event that meets the following criteria:

  • Large-scale events that reserve most or all the reservable rooms in the BSC may require additional event staff. All ASI event staff are certified in advanced CPR, AED, and First Aid and trained to respond in emergencies.
  • Events that are scheduled outside the BSC’s standard operational hours.
  • Events requesting the on-site presence of the Conference & Events Manager or the Events Coordinator (specialized A/V support).
  • When a student club or organization partners with a university department or program to   host an event.

Club & Organization Registration - New Process

Dear Broncos:

Registration is now open for clubs and organizations seeking recognition for January 2026 – May 2026, as well as for fraternities and sororities on the calendar-year cycle (January 2026 – December 2026).

Clubs and Organization already registered and recognized (view the list of registered organizations) DO NOT need to participate in this process.

Specific Fraternity and Sorority organizations (listed below) must re-register during this time.

Also, you may have received a direct email from Anita Roberts because you have special arrangements with her. If so, please disregard this email.

We are excited to announce that registration will be completed using new online forms designed to make the process more clear and streamlined. As with any new system, there may be a few bumps along the way—thank you in advance for your patience and flexibility as we refine all the new emails and forms.

Due October 31 @ 11:59 p.m.: Step 1 of 6 Club Registration Proposal Form

Due November 30 @ 11:59 p.m.: All incoming Presidents, Treasurers, Authorized Signers, Schedulers must fill out a Step 2 Club Officer Certification form AND complete their CPP Learning Workshops.

Starting December 2: 25Live opens for fully registered clubs and organizations to request space for Spring 2026.

Due December 15: Last day that the Bronco Leadership Center can approve clubs/organizations. Organizations not in Steps 4 and 5 will no longer be eligible to complete registration.

Starting January 15: Bronco Leadership Center checks all Club Officer semester and cumulative GPAs and ensure that they are enrolled in classes.

Important Notes

The incoming President must submit the form to begin registration.

Officers must meet GPA, enrollment, and good standing requirements.

Three student Authorized Signers are required: President, Treasurer, and one additional eligible student.

Updated Bylaws must be uploaded (for new clubs, or if significant changes were made). If you need a bylaw template, go to the Club and Organization Homepage.

You will need your bylaws reviewed if: You are a new club/organization, or you made significant changes in the past year (e.g., membership rules, voting/quorum procedures, officer roles, or mission). Minor edits like grammar or spelling, that do not substantively change the meaning of the bylaws do not require review.

Announcing the 2025-2026 Free Speech Event Support fund

This fund is open to Cal Poly Pomona departments, colleges, and student groups for any event occurring in the 2025-2026 Academic Year. If you are hosting an event with a free speech component — such as a panel discussion, debate, open forum, guest lecture, or similar activity — we can help cover up to $1,000 for your event.

LIMITED PILOT - ASI Amazon Purchase Request Process

ASI Financial Services is excited to launch a new Amazon Purchase Request process that makes it easier for clubs and organizations to purchase supplies—without having to pay out of pocket or wait for reimbursement.

This new system allows you to submit purchase requests directly to Financial Services, so items can be ordered quickly and efficiently. Before we roll it out more broadly, we’re inviting a few clubs to help us test it.

What to expect

Submit Amazon purchase requests using the new process.
Receive items with no out of pocket payment required.
Share feedback to help us improve the experience.

Required myBAR Roster Update

Happy start of Fall semester and recruitment season! My name is MC (Maria Cerce), Senior Coordinator for Leadership Development at the Bronco Leadership Center and the Greek Council Advisor. As you may have seen from Cristina Coronel’s email on Monday, August 25th, me and BLC Director and Greek Council Advisor Jason Lu, will be the points of contact for FSL questions or concerns.

We hope to start the semester off strong, and we need your assistance.

To ensure that we are complying with regulations, we need you to provide an up-to-date roster of your organization members by Friday, September 12th at 3pm. As a one-time courtesy, we will help you by updating your myBAR roster for you, provided both you and your advisor consent. We will need you written consent via email prior to us assisting with updates. If you do not provide your consent, we expect that you will have updated your myBAR roster to reflect the attached template by Friday, September 19th.

As a friendly reminder, rosters should be updated on myBAR whenever you add new members or if members graduate/go inactive. As a best practice, you will want to make sure that you are updating rosters monthly that way we have an accurate count of your wonderful members.

Biannual Reminder


Report Fiscal Improprieties and Off-campus Banks and Mobile Cash Apps are Prohibited

This is your biannual reminder to ensure compliance with the Administration of Organization Funds (ICSUAM 03141.01) and Reporting of Fiscal Improprieties (Executive Order 1104).

Financial Requirements
Student organizations are required to deposit and expend all funds collected on behalf of the student organization in an Agency account through the Associated Students, Inc. at Cal Poly Pomona. Student organizations that are registered with the Bronco Leadership Center (BLC) and are in good standing are eligible to open and maintain an Agency Fund Account (AFA) in ASI Financial Services.

Funds held in Agency accounts include membership dues and fees, prizes/awards from competitions, and fundraising income, including monies generated through food sales, item sales, ticket charges for University-approved programs, revenue from university-approved volunteer activities, and similar means. Student organization funds may not be raised through the sale of alcohol or tobacco products.

Upon submission of cash and checks, the appointed Treasurer shall issue a receipt to the payee, identifying the payee’s name, date of receipt, payment type and reason for payment identified. Copies of these receipts shall be given with the deposit to ASI Financial Services with the deposit documentation for the agency account. Deposits of cash or checks from club members shall be deposited into the agency account within five (5) days from the first day cash or checks are received.

Monies collected in the name of the student organization must be kept in an ASI Agency fund. Cal Poly Pomona does not permit student organizations to maintain off-campus bank accounts, including electronic fund transfer applications such as, but not limited to: Apple Cash, Google Pay, CashApp, PayPal, Square Cash, Venmo, and Zelle. These platforms currently require the account to be linked to the account holder’s bank account; they are considered off-campus bank accounts.

Executive Order 1104: Reporting of Fiscal Improprieties
Ensures that people know they can report if funds, both campus and non-campus, are being misused.

Fiscal improprieties include fraud, embezzlement, or theft, initiated not only by a campus constituent such as a student, university employee, or auxiliary employee but also by an external party. Actions that result in a loss of assets shall be reported as required, even if the loss is later recovered or reimbursed.

If there are any actual or suspected fiscal improprieties, please immediately report them to jcsaclolo@cpp.edu. The campus will investigate any complaint, allegation, or possible evidence of fiscal improprieties.

New Student Travel / Off Campus Event Process

Over the last year the campus has been working on improving the Student Travel and off campus event process. Introducing, the new Student Travel Process. This new website and forms replace the old 25Live process.

There is also a training available on the new process.

Handbooks and Other Updates

Because of the above updates, we have also updated the Club & Org Handbook and Event Handbook.

Included in the handbooks is an update regarding on-campus blood drives. We also updated the sections on what to do if you lose an Advisor, President, Treasurer, Authorized Signer or Scheduler mid-Academic Year.

As a reminder, all club and organization flyers posted around campus require stamps. Learn more about posting requirements.

You are receiving this email because you were indicated as the President or Treasurer of a registered student organization (RSO) from the BLC Registration Proposal form. 

Registration Delays

New club registration closes Sept. 1. For continuing clubs, club re-registration closed on Aug. 1. If we did not receive your re-registration, you can register for Spring 2026 beginning in Oct. 2025.

While many of you have been approved, we want to inform you that there are currently delays in reviewing submissions due to the number of incomplete or incorrect registrations. We’re working diligently to address these issues and complete all reviews as quickly as possible.

We currently have 78 approved organizations, 87 pending review, and 135 that were denied. Although this represents 189 clubs that are going through the re-registration process, each club is averaging 1.2 registration attempts.

We appreciate your patience and cooperation in providing accurate and complete information. It is our hope that all registration reviews will be finalized before the start of the upcoming semester to ensure your club or organization can begin activities smoothly.

Exemption Processes

It is required for RSOs to have at least 5 members and to use ASI Financial Services as the organization’s sole bank account. If you do not meet the member requirement, you must obtain a Member Count Exemption to remain registered.

If you are required by a national organization to maintain an off-campus bank account, you must submit a Banking Exemption to remain in good standing.

 

All exemption requests must be submitted by August 22, 11:59 PM.

Submission does not signify approval. Approval is at the discretion of the Vice President of Student Affairs and CFO of Administration & Finance.

You will be notified via email if your exemption has been approved or denied.

Hello, Club & Organization Presidents! As a reminder, we have extended the deadline for you to submit the Club & Org Proposal to Wednesday, May 7, 11:59pm. If you are unable to provide a Proposal by that time, you should plan to register your club in October, for the Spring semester 2026.

Each executive board member will receive an email directly from Gallup with instructions to take the PolyStrengths Assessment.  If you have already taken the PolyStrengths assessment, you will not receive an additional access code and the requirement will be considered completed.  

If your Proposal has been submitted and you have not received an email from Gallup within a week, please check your junk folder. If you are unable to locate it, please email leadership@cpp.edu

ASI Financial Services
  • Each club/organization must have three authorized signers for their ASI account: President, Treasurer, and one additional student signer.
  • The third signer must complete the required Leadership Toolkit workshop to approve ASI Financial Services transactions.

  • Work Study required
  • Students who are familiar with the club/org registration process, 25live, FSL, and leadership are preferred

Proposals indicate a commitment to register and names Eboard members advisors. This information submitted on the form via Club & Organization Registration myBAR page (Under forms). The proposal will remain in pending throughout registration process to allow space for changes.

Hello, Advisors! I hope your week is going well. I also ask that you take a look at these reminders and updates:
  • Clubs & Organizations should have submitted their annual budgets to their Council. Budgets require an Advisor’s signature. 
  • Purchase Orders (POs), Disbursement Requests (DRs), for expenses and reimbursement are continually turned in to ASI Financial Services. These documents require an Advisor’s signature. If you are no longer serving as Advisor, or you experience difficulty accessing these documents (in OnBase DocuSign or AdobeSign), please let me know.
  • Club & Organization, and Council elections are taking place for the 2025-26 academic year. A President, Treasurer, Scheduler, and Advisor, must be identified. Current Presidents are required to submit a Club Proposal identifying the 2025-26 Eboard. Deadline for Proposals is April 20.
  • New this year: ASI Financial Services requires that an additional student be on file as an Authorized Signer. This is in addition to the President and Treasurer. 
  • New this year: Lecturers are once again eligible to advise clubs and organizations. 🙂
