You must own the copyright for all material submitted or have permission to use all copyrighted material contained in your videos. This includes, but is not limited to, videos, images, and music.
The California State University (CSU) has set forth requirements stated by the Accessible Technology Initiative (Executive Order 1111) for all instructional and web material hosted by Cal Poly Pomona or any other CSU entity.
Please note that all video materials must contain time-synchronized closed-captions and all audio materials must be accompanied by a verbatim transcript or captions and all instructional materials must be accessible.
We ask that you provide a script or transcript to us to ensure your audio or video recording meets these requirements.
If you do not have a script MediaVision will provide captioning at no cost for content used as course materials.
For content that is not part of course materials MediaVision contracts with a vendor to provide captions at a rate of $99 per hour or $1.65 per minute of video or audio.
Because our standard work hours are Monday to Friday from 8 a.m. to 5 p.m., we are required to charge for our services that are outside this time period. Depending on the duration and number of staff required to support your event, charges will vary. Please fill out our Request a Service form to find out more details.
Please note that submitting a request form does not confirm your request will be supported. We will follow up and confirm the time and location if your event is covered; if we are unable to support your event due to lack of availability, we will let you know.
The core services that we will be providing at a continued no-cost is content supporting Academic Instruction and University Strategic Communication. Each area's priorities will be set by CAFE and StratComm respectively.
Services that do not fall within MediaVision’s core mission of instructional content or university strategic communications will be subject to charges to recover production costs.
In addition, certain projects may incur supplemental charges when they require additional resources beyond standard production support. Examples may include after-hours work, expedited turnaround, or other special production requirements.

AV Design Terms
An initial consultation fee of $125 covers system design and a complete Rough Order of Magnitude (ROM) estimate. This fee will be credited towards the project upon approval.
Service fees for the MV Design Group are determined by the project's scope, typically ranging between 2% and 3% of the total project cost.
Priority Order
In support of Cal Poly Pomona Strategic Plan MediaVision Design (MV Design) prioritizes the following elements in a rank order fashion.
- Academic spaces connected to instruction (e.g. Classrooms and Laboratories)
- Spaces that provide secondary support for academic learning (e.g. Library, Learning Resource Center, Advising locations, etc.)
- Spaces that provide career focused support for students (e.g. Career Center)
- Spaces that provide non-academic experiences for students (e.g. ASI)
- Administrative areas of the university
Additional considerations are given to:
- Projects with confirmed funding
- Space utilization
- University-wide initiatives
- The order in which requests are received
Work During Academic Calendar Breaks
During Academic Calendar Breaks, MV Design exclusively supports projects connected to Academic Spaces.
Much of our work requires that the spaces we build, modify, or enhance are unavailable during construction. To ensure we can support our highest used and most critical spaces, Academic Spaces must be prioritized during Summer Term, Winter Break, Spring Break, etc..
While CPP strives to complete work that is sustainable, high in quality, and within a timely manner, most projects are completed within 3-6 months and realistic expectations regarding project timelines are expected.
Our Service Level Agreement (SLA) for an initial response is 72 business hours. Lead time required for project initiation, dependencies, or external factors such as safety inspections, quality control, and federal, state, & CSU building codes may impact timelines.
Depending on the availability of equipment, resources, and scale of your project, it is possible to take a year or longer to complete. Find out more details on what to expect by emailing mvdesign@cpp.edu.
