Zoom Workplace User Interface Updates Arrive Next Week
Summary: All Zoom Workplace apps for desktop, mobile, and web will receive updates beginning Monday, March 30, 2026.
What does this mean for me? These changes impact the user interface experience and non-meeting-related functionality. Zoom indicates these design updates are intended to improve productivity by reducing friction when navigating their applications.
Briefly, this is what you can expect:
- Web Enhancements: A redesigned home tab with shortcuts to meetings and menu refinements to reduce clutter.
- Desktop App Enhancements: A dedicated AI Companion tab and accessibility improvements.
- Mobile App Enhancements: Unified AI Companion controls allowing hosts to manage summaries, questions, and transcripts from a single panel, along with improved navigation and easier access to video and effects settings.
- Zoom Chat Enhancements: Faster, more responsive chat across all versions, supporting image, video, and rich text sharing.
Most changes will be applied automatically with your update to Zoom Workplace version 7. Updated documentation and support resources are available through the Zoom Support Center.
Upgrade Duo Mobile by March 31
Summary: After March 31, older versions of Duo Mobile will no longer function for multifactor authentication (MFA). Duo requires the latest version be installed on your device.
What Does This Mean for You?
To avoid interruption when signing in with Duo Mobile, make sure your smartphone or tablet is running the latest available version of the Duo Mobile app, this requirement affects all services that use Duo Mobile for MFA, not just CPP.
Check Your App Version
Open Duo Mobile → Tap menu ☰ → Security Checkup.
Security Checkup displays actions for improving your device's security.
Minimum Requirements
- Android 11 or later
- iOS 16 or later
- iPadOS 16 or later
If Your Current Device Does Not Meet These Requirements
Some older devices may not be able to update to meet these operating system requirements. In these cases, you can continue to use the Duo Mobile app for a one-time passcode.
If you need assistance updating Duo Mobile, or using alternate authentication methods, please contact the IT Service Desk.
New Cookie Banner for CSU Websites — What You Need to Know
In the coming weeks, California State University (CSU) will roll out a new cookie banner across nearly all CSU websites as well as the Chancellor’s Office website and its subdomains. Cal Poly Pomona will implement the new cookie banner on Thursday, March 26.
This update is part of the CSU's ongoing commitment to privacy, transparency, and user choice. Cookie banners are now common and recognized as best practice across higher education, government, and private-sector websites. They help ensure that users receive options, where applicable, about how their cookie data is handled.
What’s changing?
When you visit a participating CSU website, you will see a banner that:
- Explains how CSU uses cookies.
- Allows you to opt out of non-necessary cookies (such as analytics and personalization cookies).
- Provides you the option to accept all, reject all, or manage your preferences individually per category of cookie.
Key points to know:
- Once per year per browser: You will typically only see the banner once every 12 months per device and browser, unless you clear your cookies or use a different browser.
- Closing the banner with “X” = opting in: If you dismiss the banner by clicking the “X”, it will close and you will be opted in to all cookies (both necessary and non-necessary ) for US visitors. For EU/UK visitors the “X” will opt you out of non-necessary cookies.
- Adjusting preferences later: You can change your selection at any time by scrolling to the bottom of any CSU website and clicking the “Cookie Settings” link to update your cookie preferences.
- Shared devices: On shared or public computers (for example, labs or kiosks), we encourage users to review and set preferences each time to make sure their individual privacy choices are respected.
- Opting out of non-necessary cookies gives you more control over your information. At the same time, opting in helps CSU better understand how our websites are used, so we can improve navigation, accessibility, and online services for the benefit of the entire CSU community.

Thank you for your support in this important privacy initiative.
Sincerely,
Carol K. Gonzales, Ph.D., CISA, CDPSE

Meet Poly: The Chatbot Assistant
Poly is Cal Poly Pomona’s virtual chatbot, designed to support CPP faculty and staff. Poly quickly finds campus information and resources through pre-approved responses and links to official CPP sources.
For example, Poly can answer questions you might have about using the Common Human Resource System (CHRS).
To try Poly, log in to MyCPP and click the green chat icon in the bottom right corner of the dashboard.
What Poly Is Great For:
Poly is best used for general guidance and quick information, including:
- Answering common questions using reviewed and approved information
- Helping users locate departments, offices, and campus resources
- Providing general guidance on:
- Information Technology and technical support
- CHRS how-to questions
- Sharing links, forms, and contact information from Cal Poly Pomona websites
- Explaining processes at a high level, such as where to begin or who to contact
What Poly Will Not Do:
- Generate original responses, opinions, or personalized advice
- Interpret policies or make decisions beyond preapproved information
- Access, store, or display personal, confidential, or protected information
- Log into systems or view employee or student records
- Provide official decisions, interpret policy, or legal advice
- Guarantee that information is always current or applicable to every situation
Using Poly Effectively
For the best experience, users should:
- Ask clear, specific questions
- Use Poly for general information and direction
- Follow links to Cal Poly Pomona–managed websites for details
If Poly Doesn’t Have an Answer
If Poly is unable to answer a question, it will let the user know and help direct them to the appropriate office, website, or contact for further assistance. While Poly does not generate new responses or learn from individual conversations, aggregated and deidentified data about unanswered questions may be reviewed by the Division of Information Technology to improve responses over time.
Poly Is Not GenAI
Poly is an informational tool designed to support CPP faculty and staff. It does not learn from conversations and will not serve as an official record or decision-making authority. Users should always rely on official university policies and campus offices for final guidance.
