Work-Related Statement of Reason should include one or two paragraphs stating how the course relates to the employee’s current job position. The statement of reason must be reviewed and signed by the HEERA manager. The statement of reason must be submitted as a Word or PDF file and attached to the employee’s fee waiver application for review.

The course information must be included as well as a clear description of how the class relates to either:

  • Improving the level of skill needed to perform existing duties and responsibilities
  • Acquiring additional skills needed to perform new assigned duties and responsibilities

If you are having trouble attaching via DocuSign, please reach out to the Fee Waiver Coordinator.

Complete the Employee Fee Waiver Application, listing the course(s) to be taken during the specific semester. A separate form must be completed for each academic term.

Important Note: Employees taking courses that are work-related, who are also preparing for admission to a Graduate Program, should be aware that there are a limited number of units that may be petitioned for graduate credit when these units are taken prior to being formally admitted to the specific graduate degree program. (Limited to 9 semester units that can be petitioned).

Once approved, the employee will be notified that they have been matriculated as a transitory student and can proceed to enroll into the selected course. Please note that there is no guarantee of space availability for courses. Employees are subject to the same access provisions as other students attempting to register for classes.

As a transitory student you will not be able to pre-register for classes at any time, as registration appointments are only provided to students who are pursuing a degree/matriculating. You may want to approach the instructor for information on how best to obtain a spot in their class.

Note: Auditing of classes is not permitted, and the course must be taken for academic credit.

The fee waiver can be applied to state funded/regular academic session courses. Courses offered via Extended Learning/Open University/Foundation, are NOT eligible for the fee waiver.

The fee waiver is applied by the Student Accounts and Cashiering Office after the close of the pre-registration period. If registering late, the fee waiver is applied after the close of the late registration period.

It is the employee’s responsibility to pay remaining balances/fees by the deadline to prevent being dropped from enrolled courses.

For more information about payment deadlines, visit Dates and Deadlines.
