Employee Affinity Groups (EAGs)

Description

Looking for connection, inspiration, and a way to make campus life even more meaningful? Employee Affinity Groups (EAGs) are your space to find community, share experiences, and build lasting networks, all while supporting Cal Poly Pomona’s mission. Whether you’re new to campus or a long‑time Bronco, EAGs bring people together to celebrate what makes us unique and strengthen what we share. Everyone is welcome so come join the movement!

EAG Benefits

Benefits of creating an EAG are:

  • Official recognition through EODA/HR Operations and executive sponsorship via the Office of the President
  • Dedicated university webpage (with social links and contact info)
  • University‑provided email address for the group
  • Access to space reservations and institutional resources
  • Option to establish a CPP Enterprises financial account for fundraising and expenses
  • Direct access to university administration via the Sr. AVP, EODA/HR Operations
  • Campus visibility through orientations and university events

Recognition, Governance & Expectations

  • Voluntary & Employee‑led: EAGs are not directed by management
  • Open to all Employees: Groups may not exclude based on protected characteristics
  • University Stewardship: Keep your group webpage current and monitor the assigned EAG email address
  • Events & Meetings: Minimum 3 meetings annually; promote events through approved channels
  • Branding & Policies: Follow university branding, conduct standards, and applicable policies

Note: EAGs are employee‑led and voluntary. Groups may not engage in topics under labor union jurisdiction (e.g., pay, hours, promotions, working conditions) and must be open to all employees.

How to Start an EAG


  • Submit the EAG Application (Smartsheet): Include your proposed mission, how the group supports CPP’s mission, a roster of interested members, and required attachments (see below).
  • We’ll follow up within five (5) business days: An EODA/HR representative will review your submission and schedule a brief meeting if needed.
  • Attend the review meeting: We’ll confirm any outstanding items and, if desired, outline steps to set up a CPP Enterprises financial account.

Provide the following information in your application:

  • A non‑discrimination statement affirming membership is open to all employees
  • Meetings are open to the campus community; hold at least 3 meetings per year
  • Officers are faculty or staff; at minimum: Chair, Vice Chair, Treasurer (Secretary optional)
  • Define the officer selection process, duties, and terms
  • Describe membership categories and election procedures
  • If collecting dues: outline the dues process and note the Treasurer must complete accounting services training

Recertification (Renewal)

To remain formally recognized, Employee Affinity Groups (EAGs) must complete a recertification application every three years. We’ll notify you 3 months prior to your renewal date. To remain recognized, submit:

  • EAG Renewal Form 
  • Updated officer list
  • 10+ member signatures
  • Annual report (activities, engagement, goals, outcomes/metrics)
  • Mission & bylaws (with any updates highlighted)
  • Funding request/budget forms (if needed)

Process: EODA/HR reviews your packet and confirms recognition via email if no issues are found.

Funding & Reporting (Optional)

Funding Requests

EAGs may request additional funding to support their activities by completing the Funding Request Template and submitting it to eoda@cpp.edu.

Annual Reports

To qualify for annual recurring funding, each group must submit a brief Annual Report summarizing how funds were used throughout the year.

Reports do not need to be lengthy — a one-page summary is sufficient. Please include:

  • Use of Funds: What the allocated funds were spent on.

  • Accomplishments: Key outcomes or milestones achieved.

  • Insights: Lessons learned or notable impacts from your work.

  • Next Steps: Whether the initiative or project will continue into the next year.

These reports help highlight the great work being done across our teams and inform planning for future funding cycles.

CPP Enterprises Accounts

EAGs that do not already have one may request to open a CPP Enterprises account to manage donations and expenses. A Giving Link can also be created to collect donations throughout the year, which are deposited directly into the group’s account.

Membership Dues

If your group collects membership dues, please follow the procedure outlined in your bylaws and ensure the Treasurer completes the required training. If you need to request training, please reach out to eoda@cpp.edu.

Metrics & Reporting (Suggested)

To demonstrate impact and guide support, track:

  • Total members
  • Number of meetings (min. 3) and events
  • Average event attendance
  • Communications/engagement (emails, posts, newsletters)
  • Survey feedback and notable outcomes
