Personal Data
Many personal data updates can now be completed directly in the Common Human Resources System (CHRS) through Employee Center in myCPP. Within Personal Profiles, employees can review and update key personal information, including names, home and mailing addresses, phone numbers, email addresses, and emergency contacts. CHRS also allows employees to review and update additional personal information such as disability status and veteran status. Keeping this information current helps ensure the University can maintain accurate employment records and contact information when needed.

Faculty, Staff, and Student Employees may view or update their address in the Common Human Resources System (CHRS) under Personal Profiles.
To access CHRS, log in to myCPP, open Employee Center, and login to CHRS.

Preferred Name Change
Employees may update their Preferred Name in the Common Human Resources System (CHRS) under Personal Profiles.
To update your preferred name, access CHRS through myCPP in the Employee Center and follow the instructions in the job aid below:
Updating your preferred name allows the University to display your chosen name in many campus systems while maintaining your legal name for official employment and payroll records.
Legal (Primary) Name Change
It is important to update your personal information when changes occur. If your legal name changes, you must update your records with the University for employment and payroll purposes.
Step 1: Update Your Social Security CardBefore submitting a legal name change to the University, you must first update your name with the Social Security Administration (SSA) and obtain a new Social Security Card that reflects your updated name.
Federal and state regulations, as well as CSU policy, require that an employee’s name and Social Security Number on record exactly match the information on their Social Security Card to ensure accurate tax reporting.

After you receive your updated Social Security Card, you must submit the appropriate form to update your legal name with the University:
- Faculty and Staff: Complete the Employee Action Request (EAR) form
- Student Employees: Complete the CSU Student Payroll Action Request (SPAR) form
Forms must be submitted in person to the Customer Service Center (SSB 121 W 2700, second floor).
Please bring the following for verification:
- Your Bronco Card
- Your new Social Security Card
For assistance determining which form to complete, contact the Customer Service Center at extension 3733.
Important: EAR and SPAR forms cannot be submitted by mail, fax, or electronically. They must be submitted in person so that Customer Service Center staff can verify your identification and Social Security documentation.
This designation identifies the person authorized to receive any final pay warrant issued after an employee’s death. This designation applies only to pay warrants and does not affect beneficiary designations for retirement benefits, life insurance, or other benefit programs.
Employees may designate or update their Final Paycheck Designee in the Common Human Resources System (CHRS) under Personal Profiles. Changes may be made at any time.
To complete or update your designation, access CHRS through myCPP in the Employee Center and follow the instructions provided in the job aid below:
All CSU employees must designate their federal and state tax withholding elections, including:
- Your tax filing status (e.g., single or married)
- Any additional amount you want withheld from each paycheck
- Other withholding adjustments based on your tax situation
Employees manage their federal and state tax withholding through Cal Employee Connect (CEC), the State Controller’s Office self-service portal.
To view or update your tax withholding elections, log in to Cal Employee Connect and select the Withholdings section.
Changing Your WithholdingEvents during the year—such as a change in marital status or adjustments to the exemptions, deductions, or credits you expect to claim—may require you to update your tax withholding.
If your situation changes, you may update your withholding elections at any time through Cal Employee Connect.

Using your current pay stub and a copy of your most recent tax return, these tools can help you determine whether your current withholding elections are appropriate and whether adjustments may be needed.
