Application & Faculty Review
1. Application
Applications are reviewed based on the term application review schedule (see table). Since priority is given to students who have not yet presented their research, we encourage you to apply as soon as you receive notification of your conference abstract acceptance.
2. Faculty Evaluation Form
Each applicant must have one (1) faculty mentor evaluation in support of their Conference Presentation Award. If an evaluation from your faculty mentor is not received prior to the application review date, your application will be considered incomplete and will not be reviewed. If your faculty mentor submits an evaluation after the monthly review date, your application will be considered with the following month's applications. It is your responsibility, as an applicant, to ensure that all necessary information is submitted in a timely manner.
Eligibility
To apply for this fellowship, students must meet the following requirements:
- Submit proof of abstract acceptance (excluding RSCA, CARS, and SCCUR). In order to be eligible for the fellowship, the applicant MUST be a named author that appears on the official abstract acceptance.
- The faculty mentor completes an evaluation form supporting the student's involvement and contributions to the project.
- To be eligible to receive a fellowship the student must be enrolled at least part-time during the current funding period.
Both undergraduate and graduate students can apply for a scholarship. Students can apply for the scholarship multiple times but only one Conference Presentation Fellowship can be awarded to a student during the current funding period (e.g. July 2024 through June 2025).
Please note the following:
All applications that meet the eligibility requirements will be considered for funding. In case of insufficient funds to support all eligible applications, priority will be given to applications that include the following:
- Specific and detailed description of significant contribution to the research and presentation preparation.
- A detailed budget that is appropriate for the conference.
- Strength of the faculty mentor evaluation form.
- Research projects that were conducted at CPP and with the guidance of a CPP faculty mentor.
- Students who have not yet attended the conference to encourage students to use the fellowship for conference costs.
- Discipline parity (the OUR will do its best to award fellowships to students from a range of departments and disciplines.)
Fellowship Disbursement
Award Notification
Notifications will be sent via email from OUR-CPP to the student and their faculty mentor. A list of students receiving fellowships will also be forwarded to College Deans and Departments, as well as posted on the OUR-CPP website.
State Fellowship Disbursement Process
Student awards allocated as fellowships through the State of California. The OUR will provide a link to online Direct Pay and Vendor Data Record form for the student to complete. The fellowship payment will be made by check and mailed directly to the student to the home address provided on the Direct Pay form.
Foundation Fellowship Disbursement Process
Student awards allocated as fellowships through the Cal Poly Pomona Foundation, Inc. The OUR will prepare the fellowship form and assist each student with completing the form for processing. The fellowship payment will be made by check and mailed directly to the student to the home address provided on the fellowship form.
Conference Assessment
All student awards will be allocated as fellowships through the Cal Poly Pomona Foundation, Inc. The OUR will prepare the fellowship form and assist each student with completing the form for processing. The fellowship payment will be made by check and mailed directly to the student to the home address provided on the fellowship form.
